Your Church Carnival Planning Checklist
Six steps Knox church staff use to pull off a packed-lot fall festival without burning out their volunteers.
1. Set the Date 60–90 Days Out
October weekends are the busiest of the year for fall festivals — book by July to lock your date. VBS kickoffs (early June) need 45-day lead time. Trunk-or-treats: lock by Labor Day.
2. Map the Parking Lot
Send us a photo or rough dimensions. We’ll lay out which inflatables fit safely, where dunk tank water drains, where concessions go, and where the COI-required 10-foot clearance zones land.
3. Recruit Volunteers Early
Plan one volunteer per inflatable per hour, plus 2 at concessions, 1 at the dunk tank, and 1 floater. We handle setup and teardown — your team handles supervision and ticketing.
4. Decide Free vs. Ticketed
Free family nights drive attendance. Ticketed booths (carnival games + concessions) raise $2K–$15K in a single Saturday. Many Knox churches do hybrid: free bouncers, $1 game booths, $2 snacks.
5. Promote Like an Outreach Event
Church bulletin, Facebook event, neighborhood signs, school flyers. Fall festivals and trunk-or-treats are some of the highest-conversion outreach moments your church has all year — treat the marketing accordingly.

Will you provide a Certificate of Insurance for our church?
Yes — free of charge, every time. We carry $3 million in liability insurance and issue a Certificate of Insurance naming your church as additional insured before delivery. Most fellowship halls, school facilities, and outdoor lots require one, and your facility manager will ask for it. We email it 24–48 hours before the event so it’s in your inbox before they ask.
Can we run a fundraiser with carnival games and concessions?
Yes — and it’s one of the most effective fundraising models we see. Sell tickets at the entry table, redeem at game booths and concessions. Knox churches we’ve worked with raise $2,000 to $15,000 in a single fall festival night this way. Concessions alone (popcorn, cotton candy, snow cone) are typically the highest-margin booth.
How early should we book a fall festival or trunk-or-treat?
October Saturday nights are the busiest weekend of the year for us — book by mid-July to lock your date and inflatable mix. The bigger your church or the more equipment you need, the earlier we recommend. VBS kickoffs (early June) need 45 days. Family movie nights and summer events are usually 30 days out.
What happens if it rains on our church event date?
Rain dates are free to reschedule (subject to availability) up to 24 hours before delivery. Inflatables can run in light rain and mist with adult supervision and dry-out time, but heavy rain or thunderstorms shut us down for safety. We’ll talk it through with you Friday afternoon and make the call together.
Do you bring power, or do we need to plug into the church?
You can plug into a standard 110V outlet within 50 feet of each inflatable, or we can bring generators (rented separately) if your parking lot doesn’t have power access. Most Knox churches have at least one outdoor outlet at the side of the building — we’ll check during the lot quote.
How long does setup take, and when do you arrive?
Most church carnival packages take 60–90 minutes to set up and 45 minutes to take down. We arrive at least one hour before your event start time — for big multi-inflatable festivals we arrive two hours early. You’ll know your setup window 48 hours in advance.
What ages can use the bounce houses and obstacle courses?
Bounce houses are rated for ages 3 through 12. Obstacle courses (40 ft and 80 ft) are rated for ages 6 through adult. Combo bouncers with slides are 5 through 12. We don’t recommend mixing teen and toddler riders in the same unit at the same time — we’ll suggest age-banding the schedule for big crowds.
Do you handle setup and teardown, or do our volunteers help?
We handle 100% of setup, anchoring, safety inspection, and teardown. Your volunteers run the event — supervising riders, ticketing, refreshments. The setup process is one truck, two crew members, and about 90 minutes total. Your volunteers don’t need to lift anything heavier than a clipboard.
