Your Movie Night Planning Checklist
Six steps Knoxville hosts use to pull off a no-drama backyard, HOA, or church movie night.
1. Pick Your Date & Sunset Window
The screen needs full darkness to look good — start the film 30 minutes after sunset. June sunset is ~9:00 PM, October is ~6:45 PM. Plan kids’ bedtimes around it, or pick a Friday/Saturday so late nights don’t matter.
2. Choose the Location
Backyard (easiest, power within 100 ft), HOA common space (need board sign-off + COI — we provide free), church parking lot (drive-in style works great for fall festivals), school field (PTO end-of-year — we’ve done dozens), or Smoky Mountain cabin lawn.
3. Choose the Movie & Media Source
You bring the media — DVD, streaming stick, laptop, or phone. The projector takes HDMI input. For public/HOA/church viewings of major studio films, look into a one-time MPLC public-performance license (~$200) — ask us, we’ll point you to the right form.
4. Build the Concession Bar
Popcorn machine is non-negotiable. Add cotton candy for kids’ nights, snow cone for summer heat. Set up a single table with the machines + napkins + cups + a tip jar (HOAs use this to recoup the rental). Concessions are usually the #1 part of the night kids remember.
5. Plan the Seating
Front row = blankets on the grass for kids. Middle = lawn chairs and bean bags. Back row = folding tables/chairs for grown-ups who want to chat. We can deliver tables and chairs as add-ons or you BYO. Tip: orient the screen with the sunset behind it so glare doesn’t kill the first 15 minutes.
6. Layer the Rain Backup
East TN gets pop-up thunderstorms June through August. We can swap to a covered indoor space (church fellowship hall, school gym, garage), tent over the screen + seating, or reschedule. Rain dates are free to move up to 24 hours before delivery — talk through your backup plan with us Friday afternoon.

$50 non-refundable deposit holds your weekend — including Memorial Day, July 4th, Labor Day, and Halloween. Rest of payment due 48 hours before the event. 20% multi-day discount for VBS, church festivals, or 3+ consecutive nights.
We Show, You Press Play
On-time sunset delivery, screen anchored and inflated, projector and Bluetooth sound dialed in, concession machines preheated. We do a 5-minute test play with you, then leave before the audience sits down. Pickup the next morning.

What’s included in the movie screen rental?
Every movie screen rental includes the 16-foot inflatable screen, blower, HD projector, Bluetooth-ready sound system with two powered speakers, HDMI cable, extension cord, full setup and takedown, and a 5-minute test play to make sure your media source connects. You bring the movie (DVD, streaming stick, laptop, or phone). $399 base price, fully insured.
How big is the inflatable screen?
The screen surface is 16 feet wide by 9 feet tall — about the size of a single-car garage door. Comfortable viewing for 50-100 people from 20 to 50 feet back. We can upsize to a 20-foot screen for HOA neighborhoods or school PTO events with 150+ viewers — ask when you book.
What time should we schedule the movie?
Start the film 30 minutes after sunset for the best picture. In Knoxville that’s: June ~9:30 PM, July ~9:15 PM, August ~9:00 PM, September ~8:00 PM, October ~7:15 PM, November ~6:00 PM. For kid-heavy crowds, pick a Friday or Saturday so bedtime isn’t a battle. We deliver 60-90 minutes before showtime.
Do you provide the movie? What about copyright?
You bring the media — DVD, streaming stick (Roku, Fire TV), laptop, or phone. The projector takes HDMI input. For private backyard nights with family and invited guests, your normal streaming subscription is fine. For HOA, church, school, or any open-to-the-public showing, you’ll need a one-time MPLC public-performance license (~$200, easy online). Ask us and we’ll point you to the form.
What’s your rain policy for movie nights?
Rain dates are free to reschedule (subject to availability) up to 24 hours before delivery. Light drizzle — we can tent over the projector and seating. Heavy rain or thunderstorms — we shut down for equipment safety and reschedule. We watch the radar Friday afternoon and make the call together. Indoor backups (church fellowship hall, school gym, garage) work great with the same screen.
Do we need a generator?
Most backyards have power within 100 feet of where you’d set the screen — a standard outdoor outlet runs the projector, blower, and speakers easily. For parks, parking lots, fields, or Smoky cabin lots without outdoor power, add a generator — call for current pricing and we’ll size it to your full setup including concession machines.
Can we run a movie night at a public park, HOA common space, or church?
Yes — we’ve done all three many times. Public Knoxville parks (Lakeshore, Sequoyah, Concord) need a Certificate of Insurance and a permit from City Parks & Rec. We provide the COI free; you handle the permit (~$50-150). HOAs need board sign-off plus our COI. Churches use our COI for their facility insurer. We name additional insureds at no charge — just send us the entity name 48 hours before delivery.
How early should we book a movie night?
Summer movie nights (May–August): book 3-4 weeks ahead, more for Memorial Day, July 4th, and Labor Day weekends. Halloween + fall festival movie nights (Oct): book 4-6 weeks ahead — October Saturdays sell out by mid-September. Spring shoulder season (March–April) and winter (Nov–Feb indoor) usually has same-week availability. $50 non-refundable deposit holds the date.
